Job Summary:

The Client Admin serves as the primary point of contact for all wholesale and correspondent client management activities. This role is responsible for onboarding new broker clients ensuring compliance documentation is complete and up to date. Duties include account creation, user credential setup, client application tracking, license updates, reassignment processing, and resolving portal access issues. The Client Admin also supports internal teams through regular data audits, reporting, and system synchronization initiatives, playing a key role in maintaining the accuracy and integrity of client records across multiple platforms.

Responsibilities:

  • Main contact for all client management wholesale and correspondent requests.
  • Processing new client FastPasses in OptifiNow-This is a “mini” application we use to get brokers started.
  • Creating new clients and new user’s credentials in Encompass and Lodasoft (Portal).
  • Sending new client invitations in Comergence  (Compliance Management system) and responsible for initial review of approval and renewal documents.
  • Transferring account/contact ownership between AEs.
  • Tracking comergence application packages and extending expiration dates for clients still applying.
  • Handle client NMLS licensing updates in the system.
  • Handle client reassignments for terminated AEs.
  • Review weekly pipeline report and assign PTD Broker approval condition to needed files.
  • First point of contact for client-portal access issues.
  • Assisting team with data synchronization initiatives between Encompass, OptifiNow, and Comergence.
  • Own weekly audit process funding and active pipeline.
  • Bi-weekly data audits between 3 systems.
  • Monthly reporting for total # of clients, applications, invites, etc.

Qualifications and Skills

  • Minimum of a diploma in business administration, Finance, or a related field (or equivalent work experience).
  • 2+ years of experience in client onboarding, operations, or account management, preferably within the mortgage or financial services industry.
  • Experience of 2+ years in administrative role.
  • Experience with industry-specific platforms such as Encompass, OptifiNow, Lodasoft, and Comergence strongly preferred.
