Job Summary

The Onboarding Coordinator is responsible for supporting the onboarding process through development of training materials, and maintenance of policies and procedures. This role ensures compliance with regulatory requirements, supports HMDA reporting, and contributes to continuous process improvement. The ideal candidate will have experience in mortgage operations, documentation management, and systems such as Process Unity and Fay Servicing.

Key Responsibilities

Onboarding & Training Support

  • Create, update, and maintain training materials to support onboarding and ongoing development
  • Assist in onboarding new hires by providing structured learning resources and guidance
  • Partner with business stakeholders to ensure training aligns with current processes

Policies, Procedures & Job Aids

  • Develop, update, and review policies, procedures, and job aids using Process Unity or similar systems
  • Ensure all documentation is accurate, up to date, and compliant with regulatory standards
  • Support continuous improvement of processes through documentation updates

HMDA Reporting Support

  • Prepare and review funded mortgage applications eligible for HMDA LAR reporting
  • Validate loan data within the Encompass pipeline for accuracy and completeness
  • Support compliance with HMDA and other regulatory requirements

Qualifications & Experience

  • Experience in mortgage operations and onboarding
  • Strong background in policies and procedures development, preferably using Process Unity or similar platforms
  • Experience with Fay Servicing systems (preferred)
  • Working knowledge of HMDA reporting and compliance requirements
  • Familiarity with Encompass loan origination system
